Tutorial: Setting Up and Using the KPI Dashboard
By the end of this tutorial, you will be able to: Connect your HubSpot portal to the KPI Dashboard. Customize lifecycle stages and tracking settings. Embed the dashboard directly into your HubSpot reports.
Introduction
The KPI Dashboard by Impulse Creative allows you to understand the value per lead based on overall revenue—a view not currently available in standard HubSpot portals. It provides a full funnel overview to help CEOs and managers understand how metrics roll up to revenue.
Part 1: Connecting to HubSpot
To get started, you need to link your portal. The system does not retain CRM data; it creates lists in your portal and pulls the totals.
- Authorize Connection: Navigate to the tool and click Connect to HubSpot.
- Choose Account: Select the specific HubSpot portal you wish to use.
- Approve Permissions: Click Approve to authorize the connection. The tool will only pull list totals, not individual contact data.
Part 2: Customizing Lifecycle Stages and Tracking
Once connected, you can define how the dashboard calculates your funnel.
- Select Metric Type: Choose whether you want to track by Companies or Contacts.
- Configure Lifecycle Stages:
- If you use customized lifecycle stages in HubSpot, they will appear as choices.
- Select the stages you want to include (e.g., Lead, Marketing Qualified Lead, Sales Qualified Lead, Opportunity, and Customer).
- Set Timeframe: Choose the breakdown period (e.g., 90 days or 365 days).
- Enable Revenue Tracking: If selected, the system creates a deal list of "closed won" deals to calculate revenue metrics.
- Start Tracking: Click Start Tracking. The system will create two lists in your HubSpot portal for every stage: an "all-time" list and a "last 30 days" list.
Note: You can manually modify the filters of these created lists in HubSpot if you want to create specific subsets, such as tracking attribution for paid media only.
Part 3: Embedding the Dashboard in HubSpot
You can view the dashboard within the tool or embed it directly into your HubSpot Reports Dashboard.
- Generate Embed Code:
- In the KPI Dashboard, click the Embed area.
- Choose whether to include or exclude the summary cards at the top.
- Click Create embed URL to generate a one-time code.
- Note: This link expires after 90 days. You will need to regenerate it and re-authenticate when it expires.
- Add to HubSpot:
- In HubSpot, go to your Reports Dashboard.
- Click Add content, then select External content.
- Select Other content and paste the generated code.
- Finalize: Name your report, check the preview, and click Add. You can adjust the height and width of the report card to fit your dashboard layout.
