Goldmine has been around since 1989. Companies that still run it typically have decades of relationship history trapped inside — contacts, custom fields, email threads, call notes, appointment records. When they decide to modernize on HubSpot, that history is the hardest part to move. Off-the-shelf import tools handle contacts. Almost nothing handles the email bodies stored in MAILBOX, the activity history in CONTHIST, or the custom fields in CONTSUPP that the client has been building for 20 years.
The structural mismatch kills most attempts. Goldmine is flat-file and contact-centric — no native "Company" object, so a company name is just typed text on a contact record. After 20 years of human typing you have "Acme Corp", "Acme Corp.", "Acme Corporation", and "ACME" sitting as four separate strings. HubSpot is object-oriented and relational — contacts belong to companies, deals belong to both, and the entire automation layer assumes those relationships are clean.
We do this differently. The pipeline parses real RFC-822 email bodies from MAILBOX and lands them as fully-rendered emails on the right contact. Companies are derived from domains and deduplicated automatically. Internal staff are filtered out of contacts and earmarked for HubSpot user mapping. Every record we create during the POC is tagged so it can be deleted in one click. The full historical migration on a million-record database runs in about seven hours — unattended.

Discover · SQL diagnostic + free POC
Five read-only queries against your Goldmine SQL backend, three extraction queries for a 3-month sample. We load the sample into your HubSpot sandbox and walk it through with you — your actual contacts, companies, and email threads working live — before any contract.
Expose · scope + field mapping
From the POC output, we inventory every CONTSUPP custom field (typically 50–200 per install), define domain-normalization rules, build the owner/USERLIST mapping, and design the destination property schema in HubSpot.
Wire · production migration
Custom properties and pipelines deployed in HubSpot. Full Goldmine extract runs off-hours. Migration pipeline runs unattended — companies derived and deduplicated, email bodies parsed from MAILBOX, engagements associated to the right contact based on real From/To headers.
Operate · validate + 30/60/90 support
Phased validation pass. Cutover with sign-off. Then 30/60/90 review windows — most migration issues surface weeks later when sales tries to pull a report. We catch them before they embed.

What does the free POC actually deliver?
Five read-only diagnostic queries you run against your Goldmine SQL backend, three sample-extraction queries (3-month window), and a loaded HubSpot sandbox you can poke at with your team. No contract, no commitment. Client-side effort is about 30 minutes of SQL Server Management Studio time. Our portion is under an hour. End-to-end turnaround is 1–2 weeks — the bottleneck is usually your IT's availability for the queries.
Will running the queries impact our Goldmine performance?
The diagnostic queries are read-only and run on a single SQL connection. Most clients run them during business hours with no noticeable impact. The full production extract can take several hours on a large database (1M+ records) — we schedule that off-hours.
What about Goldmine custom fields (CONTSUPP)?
Every install has them — typically 50–200 fields built up over years. We inventory yours during the POC (Query 04) and map each one to a HubSpot custom property as part of the production scope. Structured fields with enums or type conversion are priced per-field as add-ons.
Can we keep using Goldmine after cutover?
Yes — and we recommend keeping it accessible in read-only mode for at least a year, in case anyone needs to retrieve historical context that wasn't migrated. We can also build a one-way Goldmine → HubSpot sync as a short-term cutover aid, though we recommend a clean cutover for most clients. Maintaining dual systems indefinitely is a different (more expensive) engagement.
